Administrator

Location: Cockermouth
Hours: Up to 10 hours per week (12-month contract)

Pay: £16.50 per hour (self-employed)

About the Role

​

Daily/Weekly Responsibilities

​

Update social media on receipt of emergency notifications

Respond to Flood Alerts and  Weather Warnings, escalate to Ops Team via WhatsApp if required

Email householders/businesses in response to flood alerts

Check admin email inbox and respond to any queries

Update Social Media/Website with any relevant local updates

Respond to Facebook Messenger messages

Respond to phone calls

Update volunteer/household/business email lists and excel contacts as new registrations come through or requests to unsubscribe. Update Webex with new contacts or any removed from contacts lists. KEEP UPDATED LIST IN BOX AT CHRIST CHURCH and latest version saved on TEAMS

Read Met Office updates, look at river levels on gov site, consider long range forecasts

Keep Emergency Plan and Power Outage Plans  updated with any changes and contacts. Send updated copy to Ops Team

 

Monthly Responsibilities

​

Send proposed agenda to Ops Team Lead for approval a week in advance of meeting

Once approved, circulate agenda to all Ops Team

Attend Ops Team Meeting and take minutes

Write up minutes, send to Ops Team Lead for approval, once approved send to all Ops Team

Update Action Plan based on updates from meeting

Save laptop files to USB and Cloud, swap USB with Ops Team Member at meeting

Send proposed agenda to Chair of Trustees ahead of quarterly Trustee Meeting. Once approved send to Trustees with date reminder 1 week ahead of meeting.

Attend quarterly Trustee meeting, take minutes and circulate to all Trustees.

 

Annual Updates

​

Update Safeguarding Annually on 1/10

Update/review policies with Ops Team as required

Update Risk Assessments Annually

Do Householder and Business Audit (every two years) 2026/2028/2030

Do Volunteer Audit (every two years) 2025/2027/2029

Facilitate and assist with volunteer training

Send out ‘manual handling’ to volunteers annually (Oct)

Send proposed dates for Ops Team Meeting to all Ops Team Members for the year ahead

Send dates for quarterly Trustee meetings to all Trustees for the next year.

Create Newsletter twice per year Spring/Summer and Autumn/Winter with updates and information – send to Householders, Businesses and Volunteers. Put on social media and website

 

Additional

​

Keep an eye on any training opportunities or online courses available to Ops Team or volunteers

Ensure boxes at Christ Church are kept updated and contain correct items.

Keep power pack full by charging every two months.

Keep records of when Ops Team members are on holiday or unavailable so that we know who is available in event of an emergency.

Check in with library that they have enough leaflets and forms. Collect any completed forms.

Edit then print Cascade Tree, LV volunteer contacts as new people join.
